Privacy Policy

JobProof helps Australian tradespeople turn job photos and notes into professional job reports. This policy explains what we collect, why, and what you can do about it. We handle personal information in line with the Australian Privacy Principles under the Privacy Act 1988 (Cth).
Two kinds of people in this policy
Tradespeople hold an account with us. Their customers do not. When a tradesperson records a job, they may enter details about their customer. We store that information on the tradesperson's behalf; they decide what to collect and who to share a report with.
What we collect
- Account details: your name, email address and password. Passwords are hashed by our authentication provider and are never visible to us.
- Business details: business name, logo, phone, email, address and website, which appear on the reports you send.
- Job content: customer name and contact details, job addresses, photographs, voice recordings, transcripts, notes and the reports generated from them.
- Usage data: which features are used and how often, and technical error reports. See Analytics and error reporting below.
Why we collect it
- To provide the service: storing your jobs and producing reports you can share.
- To keep your account secure and to prevent misuse.
- To understand which features are used, so we can improve the product.
- To diagnose faults when something breaks.
We do not sell personal information, and we do not use your job content for advertising.
Artificial intelligence
When you generate a report, the job details you entered, your notes and any transcripts are sent to a third-party AI provider to produce a draft. Photographs are not sent, only the number of them and which category you assigned. The AI is instructed to use only what you supplied and never to invent materials, measurements, causes, test results or compliance claims. Every draft is editable and nothing reaches a customer until you choose to share it.
Depending on the plan under which our AI provider operates, prompts may be used by that provider to improve their own products. Contact us at privacy@jobproof.au if you would like current details before submitting confidential job information.
Analytics and error reporting
We use a product analytics tool to count actions such as creating a job or generating a report, and an error reporting tool to capture technical faults. Both are configured to exclude your job content: we send event names, counts and a user identifier, never customer names, addresses, photographs, recordings or report text.
Pages that display a shared report to a customer are excluded from analytics and error reporting entirely. Those visitors are not tracked.
Sharing a report
When you share a report, we create a private link containing a random token. Anyone holding that link can view that one report and its photographs until you revoke it. The page is excluded from search engines. Revoking a link stops access immediately, although a browser may keep an already-loaded image for up to an hour.
Who else handles your data
- Database, authentication and file storage, hosted in Sydney, Australia.
- Application hosting and content delivery, which may process requests outside Australia.
- AI report generation, which may process your notes outside Australia.
- Analytics and error reporting, as described above.
Some of these providers operate overseas, so your information may be processed outside Australia. We choose providers that offer appropriate safeguards, and we will name the current providers on request.
How long we keep it
We keep your jobs, photographs and recordings while your account is open, because the point of the product is a durable record for warranty and dispute purposes. Delete a job and its photographs and recordings are removed from storage. Ask us to close your account and we will delete your content within 30 days, except where we are required to retain something by law.
Security
Data is encrypted in transit. Files are stored privately and are only reachable through short-lived signed links. Database access is restricted per business, so one business cannot read another's records. No system is perfect, but we take this seriously and test it.
Your rights
You can access or correct your information at any time from within the app, or by emailing us. You can ask for a copy of your data, or ask us to delete it. If you believe we have mishandled your information, contact us first at privacy@jobproof.au. If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au.
If you are a customer of a tradesperson
Your details were entered by the tradesperson who did your job. Ask them to correct or remove your information in the first instance. You may also contact us and we will help where we can.
